Proposal teams lose days hunting the latest RFP PDF in email. The form records the project title, due date, and the buyer’s organisation so your writers start from a single row instead of a forwarded chain.

How to Use This Form Generator

1

Create a proposal Form ID

Keep sales copied, but give writers ownership.

2

Require project title

Nameless RFPs become ‘that thing from Tuesday’.

3

Publish /rfp

Mention it in every outbound capability deck.

4

Gate/no-bid in the dashboard

Record the reason so BD can learn.

RFP as a problem statement, not a price

A request for proposal asks how you would deliver an outcome: a system, a programme, a fit-out. US public-sector RFPs can run hundreds of pages; UK public buying may sit on Contracts Finder with a similar weight. The web form cannot host the packet. It can register who sent it, what they call the project, and when a response is due.

Use organisation (UK spelling) in your intro copy when the buyer is a council, NHS body, or British charity—those teams notice. US commercial RFPs still say organization in their own documents; you do not need to match them on this page.

What proposal managers need first

Win/loss often starts with a missed due date that nobody put on a calendar.

  • Project or RFP title as the buyer names it.
  • Response due date even if they will email a calendar invite later.
  • Company or organisation plus a real phone number.
  • Message for a link to the packet, evaluation criteria, and whether a briefing call is allowed.

Decline fast in writing if you will no-bid. Ghosting procurement poisons the next cycle.

Where RFPs arrive

Portals own incumbents. Google traffic still finds boutique vendors.

1. HTML on the vendor site

For inbound packets from buyers who are not in your CRM yet.

2. Government e-tendering

SAM.gov, Contracts Finder, and similar remain mandatory when they are. This form is extra inbound, not a substitute.

3. Consultant email

Common. Force them through this form so the due date is structured.

4. Proposal software

Loopio and RFPIO store answers. They still need a clean intake row.

RFP intake without a portal login

Consultancy marketing sites are static more often than sales admits. Put the form on /rfp and send notifications to the proposal lead.

Ask in the message whether the delivery site is a US ZIP or a UK postcode—travel and on-site days change the commercial model.

Frequently Asked Questions

Can the whole RFP PDF go in the form?

Use a cloud link. Do not rely on a marketing host for 80MB packets.

Public sector compliance?

This is intake only. Your bid/no-bid and security questionnaires still happen offline.

Multiple lots?

Ask them to list lots in the message or add a textarea after copy.

NDA before opening?

Say so on the page and send a DocuSign; a web checkbox is weak evidence.
