Reply fast, follow up once

Everything so far brings people to you. Today is about winning them once they get in touch. Someone asking for a quote often contacts two or three businesses at once. The first good reply usually wins.

1. Make sure you see every enquiry fast. Check your MyFormConnect alerts reach the place you look most often, and that phone notifications are on for it. If you still miss enquiries, alerts in a messaging app you use all day may help. That's a paid extra.

2. Decide in seconds what needs a reply now. Read the first two lines of each enquiry and ask: is this urgent, and is it a job I want? Reply to those first. (On paid plans, each enquiry comes with a short summary that does this for you.)

3. Save three reply templates in your phone:

Prompt — copy into your AI assistant
**Quick acknowledgement** (when you can't reply fully yet) Hi {name}, thanks for getting in touch. I've got your message about {job} and I'll call you by {time} today. {your name}
Prompt — copy into your AI assistant
**Quote or next step** Hi {name}, thanks for the details. For {job}, the price is usually {range}. I can come and take a look on {day/time}. Does that suit you? {your name}
Prompt — copy into your AI assistant
**One follow-up** (two days later, if there's no reply) Hi {name}, just checking you got my message about {job}. Happy to answer any questions. If you've sorted it already, no problem at all. {your name}

4. Follow up once, never more. One friendly follow-up is helpful. More than that is pressure.

5. Set yourself a reply target and put it on your website's form: "We reply within 2 hours, 8am–6pm." Then keep it.

Done when: alerts go where you'll see them, and your three templates are saved.
